Business Automations

If it's repeatable and structured, it can be automated. Stop doing manual data entry and let your tools talk to each other behind the scenes.

02 What it is In plain English

The real cost of a lead is rarely the ad spend. It's the twenty minutes someone spends retyping the same name into three different tools, the follow-up that goes out two days late, and the booking that never made it into the CRM.

Automation, the way I build it, is not artificial intelligence. It's plumbing: a defined trigger, a defined action, a defined record. A form is submitted, a contact is created, a sequence starts, you get a notification, and the booking and the payment land on the same record.

The honest test is simple. If a task is repeatable and structured, it gets automated. If it needs judgment, it stays with a human, or the workflow pauses at that step and waits for your input before it resumes.

03 What's included 7 items
  • Instant CRM loggingEvery form submission creates or updates the contact in your CRM the moment it lands, tagged by source.
  • Triggered email sequencesThe right follow-up starts automatically, based on what the lead asked for.
  • Notifications when it mattersYou hear about a qualified lead the minute it lands, by email, a Slack message, or whichever channel you prefer.
  • Scheduling in syncWhen an automation books a call, phone or video, the calendar appointment and the meeting link are created and attached to the contact in your CRM without a manual step from you.
  • Payments reconciledWhatever you bill and track money with, a payment processor or your accounting software, can record and categorize transactions as part of the flow, so the money and the relationship live in one place.
  • Scheduling, payments and marketing platforms connectedOne ecosystem instead of five tools that don't talk.
  • A map of every trigger, and someone who owns itYou can see the whole flow, so nothing is a black box. And when an API changes and a step breaks, which happens all the time, I own the automation and I'm the one who repairs it.
04 How it runs Strategy · Build · Deploy

Every engagement moves through the same three phases. Here is what each one means for this system.

  1. 01 — Strategy

    Inventory the handoffs

You and I list every place a lead, a booking or a payment is touched by hand. Prepare to be surprised at how many hours each one costs per week once you add them up.

  2. 02 — Build

Wire the triggers, test end to end

I connect the tools and confirm every path end to end, with test records where I can and carefully with live data where a trigger needs it, until each step does exactly one predictable thing.

  3. 03 — Deploy

Run in parallel, then cut over

The automations run alongside the manual process for one full cycle. When the numbers match, the manual work stops.

05 Who it's for For · Not for
Who it's forFour each way
This is for you if
  • More than ten leads a month get touched by hand
  • You have a CRM you don't trust because it's half filled in
  • You pay for tools that don't talk to each other
  • Follow-up depends on someone remembering
This isn't for you if
  • The process hasn't been written down yet (that comes first)
  • Each case is a one-off judgment call
  • You're looking for a chatbot or an AI assistant
  • You get a handful of leads a month and enjoy the personal touch

06 When it breaks, and it will No hostage situations

Connecting your tools is not the hard part. Any competent developer can wire a form to a CRM and ship a workflow. What almost nobody does is own it after launch. An API changes, a tool renames a field, a token expires, and a step that ran for a year quietly stops. When that happens, and it always does, most businesses discover that nobody is accountable.

Here, someone is. You can see the whole flow, so nothing is a black box, and when a step breaks I'm the one who finds it and repairs it. That is the difference between an automation that was built and abandoned and one that is deployed and maintained: you don't get a system, you get a system that keeps running.

Q.01What platforms do you build on?

I do not predetermine the tool for the job until I meet with you and understand exactly what your needs will be. As the saying goes, 'If the only tool you have is a hammer, everything looks like a nail.' Once I complete the discovery process, I determine what technology will be used to build your website. For the majority of projects I'm regularly using React, Next.js, Astro or WordPress, or a combination of them, but your specific use case will determine which gets utilized.

Q.02Who owns the code and assets?

You do. 100% of the intellectual property, code repositories, design files, and operational assets belong to you. For as long as I am maintaining the project post-launch, I host the website and manage the codebase on your behalf to ensure maximum security, performance, and uptime.

However, should you ever decide it's in your best interest to part ways, there are no hostage situations. I include a "Heaven Forbid It Break-Up Plan" directly in my contract. If you and I need to go separate ways, there are no hard feelings. I execute a seamless transfer of all assets and codebase control back to you, setting you up for success to manage things internally or with another vendor.

Q.03How long does a typical engagement take?

Most Client Acquisition Systems ship in 3–6 weeks from kickoff. You'll have a first milestone live inside 14 days, and the full system deployed before most agencies have finished their discovery phase.

Q.04What does the onboarding process look like?

It starts with a 15-minute discovery call to make sure I'm the right fit. If I am, I schedule a one-hour deep-dive strategy session. After that session, I present you with my findings and a recommended action plan, which is yours to keep whether you have me implement it or not.
